Working With Co-Advisors
Inviting colleagues, working at the same time, and what happens if an advisor leaves.
Inviting a co-advisor
- Open Settings.
- Find Advisors and enter your colleague’s school email.
- They get a secure link by email and sign up or sign in with that same email.
- Once they accept, they see the same students, photos and coverage you do.
Up to 10 advisors can share one school. Invites are available once your school has a full license.
If the invitation email doesn’t arrive
Ask your colleague to check their junk or spam folder if it doesn’t arrive in a few minutes. Next to their pending invitation in Settings, choose Copy invite link and paste it into your own school email or a text message. The link still only works for the invited email address; they must sign up or sign in with that exact email.
Can we work at the same time?
Yes. Everyone works in the same school space, and each save is kept online right away. If two people edit the same Moment at once, the last save is the one kept, so it helps to split up the work.
If an advisor leaves the school
The work belongs to the school’s account, not to one person. The advisor who set up the school can remove a co-advisor from Settings, and a co-advisor can leave on their own. Everything they saved stays with the school.
If the main advisor leaves
In Settings → Advisors, the current owner chooses an active co-advisor and Transfer ownership, reads the confirmation and sends the request. The new advisor must sign in to their own account and accept under Settings → Advisors before anything transfers. The former owner becomes a co-advisor, who can leave or be removed. Photos, records and the existing school license, renewal date and payment method stay with the workspace. Both advisors see who now manages billing, and Workspace history records who transferred ownership and when. The new owner can update the payment method on Billing.
If something isn’t working
- My colleague never got the invite.
- Ask them to check their junk or spam folder after a few minutes. You can also choose Copy invite link next to their pending invite in Settings and send it in your own school email or a text message. Only the invited email address can accept it.
- The invite says the email does not match.
- They need to sign in with the exact email address the invite was sent to.
